Key Responsibilities:
As our Administrative Assistant, you'll play a crucial role in ensuring the smooth operation of our office and supporting our team in delivering outstanding service to our clients. Responsibilities will include:
- Client communication
- Team coordination
- Workflow review and maintenance
- Offshore team oversight
- Project management
- SOP maintenance
- Client advocacy
- Invoicing
- Training and support
- Document management
- HR recruiting and assistance
- Client onboarding
- End of Financial Year work lodgements and compliance obligations
Additional Information:
100% remote position
Casual position: Approx 20 hours per week between 9 am – 5 pm, Monday – Friday.
Selection Criteria:
1. Proven Experience in Office Management or Administration:
Demonstrated experience in office management or administration, preferably in bookkeeping or accounting practices.
2. Excellent Communication and Interpersonal Skills:
Strong verbal and written communication skills with a friendly demeanor and active listening skills.
3. Exceptional Organisational Abilities and Attention to Detail:
Proven ability to manage tasks effectively, prioritise workloads, and maintain attention to detail.
4. Ability to Work Autonomously and Under Pressure:
Capability to work independently, make sound decisions, and handle pressure situations efficiently.
5. Proficiency in Xero and Other Relevant Software Applications:
Advanced proficiency in Xero and experience with Karbon, Panda Doc, and Microsoft Office Suite.
6. Experience in Client Advocacy and Customer Service:
Track record of advocating for clients and delivering exceptional customer service. Experience of doing so within Accounting or Bookkeeping practice highly regarded.
7. Proactive and Collaborative Approach to Problem-Solving:
Strong problem-solving skills with a proactive and innovative approach.
8. Adaptability and Flexibility:
Ability to adapt to changing priorities and deadlines in a dynamic work environment.
9. Team Player Mentality:
Willingness to support colleagues and contribute to a positive work culture.
