Job Title: Printing Industry Administrative Assistant
Overview:
We are seeking a skilled and detail-oriented Administrative Assistant with a strong background in the printing industry to join our team. The ideal candidate will possess comprehensive knowledge of printing processes, along with proficiency in administrative tasks such as invoicing, accounting, customer relations, and quotes. This role requires meticulous attention to detail, excellent organizational skills, and the ability to thrive in a fast-paced environment.
Responsibilities:
- Invoicing and Accounting:

- Generate and process invoices accurately and in a timely manner.
- Quoting and Pricing:

- Prepare accurate quotes for printing services based on customer requirements and production costs.
- Liaise with suppliers and vendors to obtain pricing for materials and services.
- Customer Communication:

- Follow up on quotes, invoices, and outstanding payments to ensure timely resolution.
- Address customer concerns and resolve issues promptly and effectively.
- Administrative Support:

- Assist in general administrative tasks, including data entry, filing, and maintaining office supplies.
- Support management and team members with ad hoc tasks and projects as assigned.
Requirements:
- Experience: Proven experience in administrative roles within the printing industry, with a strong understanding of printing processes, terminology, and materials.
- Accounting Skills: Proficiency in invoicing, accounts receivable/payable, and financial record-keeping.
- Attention to Detail: Ability to maintain accuracy and precision in all tasks, from invoicing to quoting to data entry.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with customers and colleagues.
- Organisational Skills: Strong organisational and time-management abilities to handle multiple tasks and deadlines effectively.
- Software Proficiency: Familiarity with accounting software (e.g., QuickBooks), Microsoft Office Suite (particularly Excel), and CRM software is preferred.
- Problem-Solving Ability: Capacity to identify issues, propose solutions, and resolve customer concerns in a proactive and efficient manner.
