Administration Assistant
We are seeking an experienced Administration Assistant with a background in the building or commercial sector and proficient skills in Xero accounting software. As an integral member of our team, you will be responsible for providing administrative support to ensure the smooth operation of our business activities. Our office is located in Parramatta and hours will be Monday to Friday 8:30am – 1:30pm. Responsibilities: 1. **Administrative Support**: Assist in daily administrative tasks including but not limited to managing emails, scheduling appointments, organizing meetings, and handling correspondence. 2. **Xero Proficiency**: Utilize advanced skills in Xero accounting software to manage financial transactions, reconcile accounts, generate reports, and assist with invoicing and billing processes. 3. **Documentation and Filing**: Maintain accurate records, both digital and physical, ensuring all documents are properly filed and easily accessible. 4. **Client Interaction**: Communicate effectively with clients, suppliers, and stakeholders to address inquiries, resolve issues, and provide exceptional customer service. 5. **Office Management**: Oversee office supplies, equipment maintenance, and other general administrative tasks to ensure the office operates efficiently. 6. **Project Assistance**: Support project managers and team members by assisting with project documentation, data entry, and coordination of tasks as required. 7. **Compliance and Regulations**: Stay updated on relevant industry regulations and compliance requirements, ensuring all administrative processes adhere to legal standards. 8. **Team Collaboration**: Collaborate with team members across different departments to streamline processes and contribute to the overall success of the organization. Qualifications: - Previous experience in administrative roles, preferably within the building or commercial sector. - Proficient in Xero accounting software with demonstrated experience in financial management. - Strong organizational skills with keen attention to detail and accuracy. - Excellent communication and interpersonal abilities. - Ability to multitask, prioritize tasks, and work efficiently under pressure. - Familiarity with relevant software applications such as Microsoft Office suite. - Proactive attitude with a willingness to take initiative and solve problems independently. - High level of professionalism and integrity in handling sensitive information.
